Public documents vs
Private documents

PUBLIC

If your documents are public documents like original government documents such as:

We are then able to stamp those documents by an apostille or authenticated without notarisation. Otherwise, if you want to retain your original public document and you only want to send a certified copy to the intended destination country, then the certified copy of that public document must also be notarised by a notary public before it can be stamped with an apostille or authenticated for legalisation purposes.

PRIVATE

If your documents are private documents like non-government documents such as:

Remember, those documents must be notarised by a notary public before they can be stamped with an apostille or authenticated.

We may also need verify the authenticity of the document with whoever issued it before we can notarise that document. This should be researched before you reach out to us. For example, education documents or qualifications must be verified with the relevant school, college, or university before they can be notarised and before we will accept them for the purpose of stamping them with an apostille or authenticated for legalisation purposes.

So, there are 3 kinds of notarisation types to choose from either.

This will ensure you can organise and collate your documents so we can get to work right away. And we aim to make the whole process as easy and smooth as possible.

Preparing your documents:

You may need either an apostille or an authentication for your documents, so find out first what is the best solution for your needs.

Ask the overseas authority which documents you need legalised. ANS can't advise you what you need legalised to use in another country.

Confirm the documents are eligible for legalising by ANS. We cannot verify certain international documents (e.g., birth certificates in another language, without a NAATI translation).

Some countries require additional services for notarisation of documents such as Attestation, Apostille and authentication. To find out if you’ll need any additional services, please check your destination country by starting the "START Your Notarisation" process.

We can also notarise signing documents in English, in your language, or both English and your language and will show a disclaimer stating that you are not fluent in that language. Let us know if this your situation.

Gather your documents and call us to make an appointment.

Making an appointment and submit in person:

  • Once you are ready, make an appointment at our office, where we can have your signature witnessed.
  • When signing your documents, you will need to bring ID with you.
  • Make sure you've prepared everything you need, PRIOR to your appointment. This will save time and stress and make the process easier.
  • If any documents are missing or non-compliant, we won’t be able to complete the processing of your documents, and this may hold things up. We will advise you what other evidence you are required to provide.
  • We cannot advise you on the drafting or creation of your specific documents or the requirements of countries or the contents of documents.
  • You will need to research what you need first and then book in a time with us to provide the notary services.
  • Bring a credit or debit card with you for payment. If you want your legalised documents returned to you by mail, we can arrange post for you.
  • Please note: We can arrange to express post or courier your document if you advised us upfront, and they will be charged the cost as an expense (Additional fees are applicable for returning the documents to you domestically (AU$11) or overseas (Approximately AU$121).
  • Please contact our office prior to personally dropping off documents to set an appointment time.
